Position Description

We are seeking an experienced event registration manager. This is not an entry-level position. As the Registration Manager, you will be responsible for the overall planning, execution, ongoing management and reporting of the client launches, implementation and deployment. This is a dynamic role which will require handling multiple projects concurrently while working closely clients and with internal stakeholders. The successful candidate will have experience managing strategic and enterprise customer projects, with the ability to manage, communicate, and deliver superior service to our valued customers. Possible national and international travel for approximately 1 week per month.

Key Role Responsibilities

  • Attend and present professional services information at pre and post sales meetings with the sales and account management team.
  • Develop and manage client launch plans; create clear, attainable program objectives.
    Utilize process engineering, consultative and relationship building skills to identify and present event process enhancements and new professional services opportunities.
  • Effectively manage and track project deliverables.
  • Ensure that project/event-specific documentation is regularly updated throughout the project.
  • Partner with Sales to communicate new services opportunities for follow up and add on to the client contract.
  • Work closely with client and the services team to develop project scope of work, ongoing processes.
  • Communicate effectively on a day-to-day basis with LiveBuzz clients and internal teams.
  • Partner with clients in their onboarding program, build schedules, and onsite deliverables.
  • If required, travel to and from events to physically manage the onsite deployment and professionally execute all required tasks while addressing any client needs.
  • If onsite, demonstrate excellent leadership skills while leading an onsite team at the event. The Project Manager is responsible for briefing the onsite team and keeping the onsite deployment on track.
  • Manage the timeline of all projects and keep detailed tracking of all production hours; manage project roles, identify resource requirements, meet training needs, define project deliverables and act as a liaison between internal stake holders and clients.
  • Build and test registration sites, assess and improve where required; proactively manage client expectations.
  • Prepare and deliver clear & concise activity/progress reports to stakeholders and Company leadership; clearly communicate and manage risks. These status reports should be provided on a weekly basis, or as agreed upon with the customer.
  • Identify and develop contingency plans to mitigate and address risks; implement change management activities with the Services Team when necessary.
  • Close out projects, conducting post implementation review, benefits review, lessons learned, publishing information, and implementing improvement opportunities.
  • Manage multiple projects at any given time while keeping deadlines and exceeding client expectations.
  • Thorough understanding of signed scope of work with capability to explain and manage with customers, as needed.

Experience and Education Requirements

  • Bachelor's degree or equivalent combination of education and experience 
  • 3+ years’ experience managing software implementation projects for strategic/enterprise customers 
  • Experience with managing onsite events 
  • Customer-facing Technical Project/Program Management role with a record of successful delivery 
  • Excellent problem solving, analytical and time management skills 
  • Ability to balance competing demands from multiple client projects while remaining structured and organized 
  • Experience with requirements gathering initiatives and writing use cases 
  • Experience with strategic planning (phasing strategies, roadmaps, risk mitigation, etc.) and utilizing PM software tools (Smartsheet, Asana, Clickup, MS Project, Excel) 
  • Technically competent with various software programs, including Microsoft Office Suite, ASANA, and Azure Dev Ops a plus 
  • Knowledge of databases, HTML, Photoshop a plus. 
  • Strong presentation and meeting management skills 
  • Strong interpersonal, negotiation and relationship building skills 
  • Self-motivated, detail-oriented and organized 
  • Excellent communication (oral and written), interpersonal, organizational, and presentation skills, especially with Directors and C-Level Executives 
  • Ability to travel for approximately 1 week per month 
  • Maintain LiveBuzz’s high standards of professionalism whilst onsite at events

Job Details

  • Type: Full-time with core office hours, but flexibility is key—events often require work outside the standard 9-to-5.
  • Location: Based in our Brooklyn, NY office, with the ability to commute.
  • Travel: Includes some weekend work and approximatley 1 week per month of travel within the US and occasionally abroad.
